Personal Assistant / Project Secretary

We are looking for an experienced Personal Assistant to assist Project Director and his management team to perform day-to-day administrative tasks, scheduling, office support, operations support, event management in timely and accurate manner with minimal supervision.

Responsibilities:

  • Schedule meetings and appointments, booking of meeting venues and dining arrangements
  • Facilitate meetings, conferences, seminars, events and business-related activities
  • Booking of travel arrangements including flight, hotel, visa, transport, etc.
  • Expense claims management
  • Handle incoming and outgoing mails
  • Greet and attend to walk-in guests
  • Collaborate with other department to organise employees’ activities
  • Other ad-hoc general admin and operational tasks as assigned

Requirements:

  • Excellent verbal and written communication skill (English)
  • Minimum 5 years of experience as project secretary / personal assistant role supporting Director’s level preferably in the construction industry
  • Possesses strong people management skills
  • Strong interpersonal skills and the ability to build relationships with a broad range of stakeholder including internal and external staffs
  • Must be willing to travel to work at Pioneer
  • Must have experience supporting Director level in MNC
  • Able to work independently with minimal guidance and training
  • Able to handle wide range of ad-hoc duties as and when assigned
